PSU Alumni Association, Boston Chapter Meeting Minutes - January 20, 2010, 7:17pm I. Old Business Last meeting - October - no minutes approved
Strategic plan - guiding light for next several years - organization by deadline - Exec will be tracking monthly and discussing in subcommittees - will be keeping better track of progress - not yet assigned to individuals to accomplish, will be setting at exec mtgs Voting (8 people in attendance) - Membership change o not that big of a committee, structure now is built with 3 committees o Would like to reorganize the membership committee so that whoever is available can be part of a pool that gets involved with the current initiatives across the entire membership focus II. New Business Officer reports - meeting schedule o need to choose a night for meetings. Andy will distribute options for meetings. o may do different meetings for exec board and officer + committee board Membership for Volunteers - Make sure you logon with your non-PSU acct & make sure you renew if your membership is not current Newsletter update - weekly newsletters sent out - goal is to send email to secretary@psuboston.org & president@psuboston.org by Tuesday night. - put article in & send to us on Tuesday, finalize on Wed, send on Thursday Nomination chair - Elections will happen at the Spring Social. Nominations open ahead of then. o Current board members can be nominated for President o Anyone can be nominated for any other positions o If you know someone or are interested in a position for next year email nominations@psuboston.org o If you are interested in nomination chair, you can’t be elected as an officer § Cater to people who express interest § Explain what positions are § Try to make sure that someone is running for everyone position § Work on your successor if you are in a position & know you will leave Affiliate group & individual award nominations - Won website of the year last year - Get $ for awards - If anyone is interested in nominating someone please write & send to Andy Spring Social - Alison - Looking at dates May 1, May 14, Sat May 15 between 7-10pm - Looking at places right now for venue including M.J. O'Connors - Budget is $1900 from chapter, and then ticket prices - Last year 50 people came w/ higher ticket price - Need to bring in $1200 - Waiting for Jeff to send stuff to her on budget from last yr, ticket sales, etc. - Tax exempt status …keep that in mind - Ginny will need one person to help her set up
Treasurer’s Report - End of December, looks like we have $9,900 o but we don’t b/c we paid $7,600 tickets for Red Sox tickets (one game is patriots day) Some tickets standing room only, one section o Brought in 57% of the membership 1/2 way through the year, on-target budgeting $4,800 o **Andy requested transaction fees YTD** o Omnimagnet charges $300/quarter, credit cards (allotted $1k) so far at $563
VP of Programs - Big Ten Trivia night - 30 people came o Lots RSVP’d, not everyone showed up - 1st time homebuyers - tonight - PSU Volleyball in States (this Saturday), CT chapter planning dinner after - THON fundraiser Feb 6th, Big10 note went out, its on linkedIn. o Waiting for official THON approval. Emily Greenberg regional events chair o Buy tickets, only 5 sold § Free appetizers § Free raffle tix § $ goes to thon - Feb 21st dancing lessons - Mar 7th offer reception @ Newton Marriott 2-4pm - Red Sox events - Blue & White game April 23rd - biz networking - John o Organizing an event for March - bball watch tavern on the square o designated area for us, trying to get sound on the big screen - Service chair- open **put in newsletter** Membership - pin idea o send out a note w/ tickets saying please wear PSU gear o send out stickers for all the ticket purchasers so that they can wear a sticker saying how they are affiliated with PSU Scholarship - Ginny - Silent Auction Online o talking about ways to boost interest in silent auction, Peter mentioned we do online auction…if you can’t go spring social, bid online § as long as its part of official sanctioned event & part of scholarship we are good to go, nonprofits exempt from scalping laws in MA § suggestion is to do it through our website- most control & drive traffic to website, obvious to university that we would be doing a chapter sanctioned event, and also we would be able to make sure all proceeds would go to the event, & drive up membership at same time. § Contact cristy to see if we can get custom coding to set up online auction - Flower bulb fundraiser to raise $ for Scholarship fund year round o No fees for us to do it o Make 50% of profits o Nothing ships out till Apr 1, get 1 mo later in lump sum o Could we do fresh flowers?? **will look into (like daffodil days)** Open Positions: - Social chair - Nominations chair Next Meeting - April date TBD & location TBD - Feb 22nd next Board Executive meeting Philanthropy - going to do a fundraising walk as a group, please suggest if anyone has a good walk to suggest
