Meeting Minutes- November 16th, 2009 I. Strategic Plan - Goal is for the VPs to develop steps to work toward completing the Plan a. Peter’s VP update i. Value of Membership- provide value to parents of students to join as non-alums a. regular communication through email b. utilize the psuboston.org website as a resource c. institute feedback loop from parents on how we can better serve their needs so that they would be willing to pay membership dues ii. Volunteer Recruitment 1. Find ways to thank volunteers for Lions Roar & Admissions volunteers a. Continue to feature contributors on website 2. Put info on newsletters in timely manner iii. Grow and maintain our membership 1. advertising events to non-PSU alums & potential students iv. Contingency & Succession 1. make sure there is a plan in place for succession 2. everyone has documentation on their responsibilities, however provide a more open dialogue and open action items 3. utilize co-chair model to help with succession planning v. Philanthropy 1. target scholarship a. run one quarterly i. 50/50 raffle ii. mixer iii. door fee at event b. more prominently feature the scholarships on our website c. generate organization-wide interest in the silent auction b. Ross’s VP update- had meeting with Scott Carroll, Ross, and Christy i. Goal of 300 members 1. based on estimate of alumni in the area, which may or may not be correct 2. going to keep this as the goal & can modify in the future if necessary ii. Expansion & Recruitment 1. Focus on a younger crowd a. While art galleries, poetry readings, etc. have been ideas in the past, they are going to stick with TV Tailgate type events for now 2. Tap into larger PSU alumni database to find notify them of our existence, communicate our benefits, and hopefully gain new members 3. Tighten up processes a. Clarify whether expired members can have benefits of members (ie tickets to Red Sox, etc.) b. Ensure that all our members and non-members understand the benefits of Membership 4. Membership Benefits a. Allow advertisers space on our website in return for membership benefits 5. Identify one time tasks that volunteers can do rather than positions that people can own the responsibility for without being overwhelming c. Hye Won’s VP Update i. Will follow-up with her info via email II. Increasing Silent Auction Fundraising a. Have online bidding b. Set minimum bids c. Make it more apparent that the items were donated by PSU Alums III. Upcoming events a. Cooking Class i. Moved to January b. Dance lessons i. Saturday Dec. 5th! c. Big 10 Martinis and Toys d. Bar crawl monthly e. Next Exec board Meeting- Dec 21st IV. Please write Thank you notes to your committee before the end of the year V. Marketing a. Not selling ourselves sufficiently b. Please let Andy know if you have anyone who does marketing that could give us an independent view VI. Volunteer Recognition a. Please brainstorm ideas for recognizing our Volunteers
