PSU Alumni Association – Boston Chapter Board of Directors Meeting Minutes, September 21, 2009 OLD BUSINESS I. Officer Retreat a. We have created a living document & strategic plan for the chapter b. Highlights i. Page 2 reviews history of what we have done in the past ii. We used SWOT to analyze our top goals for the future II. New Chairs & volunteer recruitment a. Membership chair, Social events, community service, biz networking opportunities open b. Have 2 people interested c. Keep trying to recruit committee members III. Homecoming Parade a. Have 2 people interested in helping out b. They will need a banner, alumni admissons & programs both have one NEW BUSINESS I. Treasurer’s Report - Andrea Pollack a. Expenses i. Please submit all expenses with the reimbursement form to the event chairperson ii. Andrea will email out the reimbursement form iii. Please be very specific on the Project Event line so it can be properly categorized. b. Summary of Budget i. Reviewed line items, budget was adjusted by a total of $850 ii. Budget was approved II. Member Benefits Report - Cristy Donnelly a. New Member Report i. 40 new members in September, 80 YTD ii. half of new members have signed up in the last 3 weeks iii. 22 are new members that signed up at the TV Tailgates b. New processes in place so you can sign up for membership at the TV Tailgates c. Offering recent grads a $20 membership fee instead of $25 d. Recent grads have had to fill out a form, seek approval, and then can go on & sign up for membership, however people have generally not gone back to sign up i. We will be waiving the approval process at least through football season e. Asking for membership volunteers to collect membership forms at TV Tailgates i. Requesting 2 volunteers per game ii. Have brainstormed ways to get officers involved & decided to f. Will have a happy hour for new members as a ‘welcome’ to alumni assoc world i. Everyone will be invited g. Request that all communications to the membership have a link & info on how to become a member h. Request a change in how membership is represented- vote on at next meeting bylaw revision i. Stick w/ theme of simplifying things ii. Change branding & how we represent what membership as a whole is doing iii. Eliminate hospitality & membership chair & combine them into one chair called ‘Member Recruitment’ iv. Goal for now is to recruit & maintain members, eventual goal is to put a committee into place once we have a significant & maintained base of members to increase involvement III. Programs - Hye Won Lee a. TV tailgates going very well b. Requested officers to try to solicit feedback & help facilitate mingling at TV Tailgates c. Michigan happy hour at ‘The Place’ this Wednesday IV. University Relations - Peter Emigh a. Student prospect reception - need volunteers - Newton Marriott at 7pm Oct 27th b. Never to early to start thinking about silent auction items i. Would like to set up a way for remote bidding c. Need volunteers for Lions Roar V. Philanthropy - Kelly Hainer a. 20 people showed up for Bowling for Thon, raised $400+ b. PSU/MSU Blood Drive will be on Saturday Oct 31st i. Sponsor will bring food ii. We can bring in decorations, advertising, etc. to the area iii. Can go to any site in MA to donate & it will count for us iv. We will focus on Dedham area v. Will announce winner at MSU PSU game c. Holiday - planning to adopt a family i. Planning on soliciting for donations to give a family ‘a Christmas’ *Next mtg Monday Oct. 19th at 7pm*
